From a spreadsheet of gifts to a plan for every donor
Philanthropy Portfolio runs every night on your own data. Here is what happens between your export and your team's list for the morning.
-
Bring in your donor history
Export donors, gifts, recurring plans and activity from your current system as CSV or Excel. A guided field mapper matches your columns, flags problem rows and spots duplicate records so you can merge them.
Direct connections to common donor databases and giving platforms are on our roadmap.
-
Place every donor on the ladder
Each donor lands on exactly one of 11 tiers, based on how they give and how they take part. Clear rules decide the tier, so there is no overlap and no guesswork, and every move up or down is recorded.
Tier Name What we're working toward 0 Prospect A first gift 1 New Donor A second gift 2 Developing Donor A giving habit 3 Engaged Donor Deeper commitment 4 Monthly Giving Candidate A monthly plan 5 Monthly Donor Retention and a yearly upgrade 6 Mid-Level Donor Major-gift readiness 7 Major Donor Prospect A major-gift commitment 8 Major Donor Retention and growth 9 Legacy Prospect A planned-giving conversation 10 Legacy Donor Lifetime stewardship At risk, lapsed or dormant A flag on top of the tier, never a replacement. A lapsed major donor stays a major donor and gets a recovery plan. You set the thresholds that fit your organization, such as the gift size that counts as a major gift.
-
Score each relationship
Five standard scores, each from 0 to 100, measure the relationship rather than the donor's wealth.
- Relationship
- How strong is this donor's connection to us?
- Retention
- How likely are we to keep them over the next 12 months?
- Upgrade
- How likely are they to move up a tier?
- Recovery
- If they have lapsed, can we win them back?
- Legacy
- Are they ready for a planned-giving conversation?
-
Read the direction of travel
A momentum indicator shows whether each donor is growing, steady or declining, using both giving and engagement. A donor who gives a little less but volunteers more is not treated the same as one who is quietly drifting away.
The software also estimates each donor's long-term value in today's dollars, so a $10-a-month supporter with strong momentum gets the attention they deserve.
-
Recommend one next best action
Every donor gets exactly one recommended step: a thank-you call for a new donor, a monthly-giving invitation for a likely sustainer, a stewardship visit for a major donor, a win-back for someone who has lapsed. Each comes with an owner, a due date and a confidence level.
Your staff open one daily list ranked by urgency and value. Automated steps go out as email pipelines. Personal steps open a short playbook and a pre-written email.
-
Measure movement
Leadership sees how many donors moved up, moved down, came back or re-engaged this month, along with retention, monthly-donor conversion and overall portfolio value. Progress is measured against your own starting point, not someone else's average.
See it on a real portfolio
We'll walk you through a sample animal-rescue portfolio, then talk about what yours would look like.
